Provider-to-School Engagement Guide
As of Sept 2024 - Approved and recommended by SD43 Community Healthy Living for all SD43-Afterschool Guide program provider partners using the DWUL Community Platform.
Program Vetting and Review
All programs must be vetted and approved by the SD43 Community Healthy Living team, including background checks and assessments, to ensure the program's structure and costs align with SD43 schools and families.
Ongoing Process (School-Year)
Schools access vetted program info and support via the “Afterschool Guide” (ASG)’s “Request Program” page: https://guide.dowhatuluv.ca/school-partner/request-programs.
School Admin (principals) or, in some cases, the Parent Advisory Councils (PAC) handle program booking and send in requests based on the needs of students and families.
Schools can send requests directly to the program provider or from the ASG’s “Request Program” page (link above), and we forward them to providers (school decides).
If schools ask about program suggestions that could work for their school-based policies and space availability or are looking for activities similar to your program(s), we can help share the appropriate program and provider information or make introductions (not guaranteed; schools decide).
Provider Outreach to Schools (Optional)
SD43 permits providers to contact schools directly to introduce themselves and their programs and establish relationships for engagement (optional).
Many providers are doing this ongoing and have seen more program requests.
In outreach emails, providers can include the following:
Identify/mention you are a “Provider (new or existing for x of years) working in collaboration with SD43-Afterschool Guide and DWUL.”
Attach your program info (in the email directly or as a 1-2 page PDF), including:
Brief program description, benefits, and highlights
Number of sessions (avg. in SD43 is 8-10)
Length per session (60 mins - 120 mins)
Cost per session (or the total cost for all sessions)
Location/Room requirement (Gym, library, multipurpose room, etc.)
Equipment and supplies (if the program provides them, if students need to bring them, or if schools need to offer them)
Your contact info for school inquiry

School Decision Autonomy
SD43 schools have complete autonomy over program planning and booking.
The SD43 Community Healthy Living team, led by Jeff Stromgren, and the Afterschool Guide by DWUL Foundation do not dictate school decisions. It's up to the schools.
Schools make decisions and choices based on internal planning with their school staff/families, based on interests, needs, space availability, and other school schedules.
SD43 also permits schools to book with providers directly, book through SD43/Jeff, or do their own thing without the Afterschool Guide (we are not involved with their decisions)
SD43 works with all programs that benefit SD43, and just because providers are "approved" and part of the "Afterschool Guide" or using the "DWUL Platform" doesn't mean schools/providers are guaranteed anything.
